1. About This Notice
You are being asked to participate in an inspection of your property. This notice explains who is collecting your information, how it will be used, who will see it, and the choices you have. Please read it carefully before submitting any photos or other information.
By submitting photos, completing the inspection, or otherwise using the inspection link sent to you, you confirm that you have read and agree to this notice.
2. Who Is Collecting Your Information
The inspection link you received was issued by your insurance agency (the "Agency"). The Agency is the party responsible for deciding how your information is used and is the "data controller" for this inspection.
Fire Call, LLC ("Fire Call," "we," or "us") provides the technology platform the Agency uses to conduct the inspection. We process your information on the Agency's behalf as a "data processor." We do not use your information for our own commercial purposes.
The specific Agency that issued your inspection is identified on the page where you received this notice. For questions about how the Agency uses your information, contact the Agency directly. 3. Information We Collect
In connection with the inspection, we collect:
- Photos you upload of your property, structures, vegetation, and surrounding areas
- The property address and any location data associated with the photos
- Your phone number or email address, used to verify your identity through a one-time passcode (OTP)
- The date and time of your submission and the device or browser you used
- Identity-verification and session forensics: when you complete one-time-passcode verification, we record your IP address and browser/operating-system information ("user-agent"), the email address the inspection link was issued to, and the timestamp at which your inspection session was established. This information is used to detect and prevent unauthorized use of inspection links, investigate suspected abuse, and support customer support requests.
- Email delivery metadata: when we send you an email related to the inspection (for example, your one-time passcode, status updates, reminders, hazard-submitted notifications, or decisions about an appeal), we log delivery metadata for that email — the recipient address, subject line, timestamp, and delivery status (sent, failed, bounced) — along with the identifier returned by our email delivery provider. We do not retain the body of those emails. This metadata supports deliverability, customer support, and compliance review.
- Any notes, descriptions, or other information you choose to provide
- Information about the inspection itself, such as which hazards were identified and which areas were reviewed
4. How Your Information Is Used
Your information is used to:
- Allow the Agency to assess wildfire risk associated with your property
- Support the Agency's underwriting, policy, or claims decisions
- Identify potential hazards and remediation needs
- If you choose to engage one, connect you with a contractor to address identified hazards
- Maintain records of the inspection for the Agency's recordkeeping and compliance requirements
- Operate, secure, and improve the Fire Call platform on the Agency's behalf
5. SMS / Text Messaging
Opt-in and scope. If you provide your mobile phone number and select text-message delivery for your verification code, you consent to receive one-time verification codes via SMS from Fire Call to confirm your identity for this inspection. Fire Call does not use SMS for marketing, promotions, or status updates about the inspection — text messages are sent only as one-time passcodes you have requested.
Message frequency. Message frequency varies based on your activity. Verification codes are sent only when you request them — for example, when you start the inspection or request a new code.
Carrier charges. Message and data rates may apply. Check with your wireless carrier for details.
Opting out and help. Reply STOP to any Fire Call SMS to opt out at any time. Reply HELP for assistance, or contact us at info@firecall.us.
Supported carriers. Supported carriers include AT&T, T-Mobile, Verizon, and other major U.S. carriers. Carriers are not liable for delayed or undelivered messages.
Geographic scope. SMS service is available in the United States only.
Consent not required. Consent to receive SMS is not required to participate in the inspection. You may verify your identity by email at any time.
6. Automated and AI Processing
Some of your information may be processed by automated systems, including artificial intelligence tools. For example, AI may be used to extract text from inspection-related documents, organize uploaded photos by hazard type, or assist with generating inspection reports.
Automated tools are used to support, not replace, decisions made by the Agency and any contractors. A human reviewer at the Agency or a contractor reviews the results before any action is taken that affects you, your property, or your insurance.
We use third-party AI providers, including Google (Gemini), to perform some of this processing. These providers act as subprocessors and are contractually prohibited from using your information for their own purposes.
Use of inspection content to improve the Service. Your inspection content (including photos, hazard descriptions, and other information you submit) may also be used by Fire Call to train, evaluate, and improve the automated systems that support the Service, including for internal quality assurance. Where feasible, this use relies on de-identified or aggregated derivatives of your content. Fire Call does not currently train its own machine-learning models; this paragraph reserves the right to do so. Any third-party AI provider used for such purposes remains bound by the subprocessor obligations described above.
7. Who Sees Your Information
Your information may be shared with:
- The Agency that issued your inspection link, including their authorized staff
- Contractors on the Fire Call platform, but only if you or the Agency engages them to perform remediation work, and only the information they need to do that work
- Fire Call service providers who help us operate the platform (for example, cloud hosting, email delivery, identity verification, AI processing). These providers are bound by contract to protect your information
- Law enforcement or regulators if we are legally required to disclose information
We do not sell your information. We do not share your information with advertisers or use it for advertising purposes.
8. How Long Information Is Kept
The Agency determines how long it keeps your inspection records, consistent with its own policies and applicable insurance recordkeeping laws. Insurance industry standards typically require records to be retained for at least seven (7) years.
Fire Call retains the information for as long as the Agency's account is active, plus a reasonable period after termination to allow the Agency to retrieve or export its records. After that, we delete or anonymize the information, except where we are required to keep it for legal, tax, or security reasons.
Email delivery metadata (described in Section 3) is retained for ninety (90) days from the date of sending, then deleted or anonymized. Email bodies are not retained.
9. How Your Information Is Protected
We use industry-standard security measures to protect your information, including encryption in transit and at rest, access controls limiting who can view your records, and audit logging of access. No system is perfectly secure, but we work to maintain a level of protection appropriate to the sensitivity of the information.
10. Your Rights and Choices
Because the Agency is the data controller, requests about your inspection information should generally be directed to the Agency. Depending on the state where you live, you may have rights to:
- Know what information has been collected about you
- Receive a copy of your information
- Correct inaccurate information
- Request deletion of your information, subject to legal and recordkeeping exceptions
- Opt out of certain types of processing
- Not be discriminated against for exercising your rights
To exercise these rights, contact the Agency that issued your inspection link. If you contact Fire Call directly, we will pass your request to the Agency and help fulfill it on their behalf.
You also have the right to withdraw your consent to this inspection at any time. To do so, stop submitting information and contact the Agency. Withdrawing consent does not affect information that has already been collected, but you can request its deletion as described above.
11. Children
The Fire Call platform and this inspection process are not directed to children under 13, and we do not knowingly collect information from children. If you believe a child has submitted information through an inspection link, contact us at legal@firecall.us and we will work with the Agency to delete it.
12. Choice to Participate
Participation in the inspection is voluntary as far as Fire Call is concerned. However, your insurance Agency may require completion of an inspection as a condition of issuing, renewing, or maintaining your insurance policy. The consequences of not completing the inspection are between you and the Agency.
If you choose not to participate, simply do not submit any photos or other information through the inspection link, and contact the Agency to discuss alternatives.
13. Changes to This Notice
We may update this notice from time to time. When we do, we will publish the updated version at this page along with a new effective date. Prior versions remain accessible at /inspection-consent and its version archive. For material changes, we will work with the Agency to notify affected individuals.
